Job Responsibilities
This role supports the Chief Executive Officer and the senior management in Hong Kong and assists in managing the administration and facility management team under the CEO Office. The successful individual will have responsibilities which include, but are not limited to:
Working with the Hong Kong leadership team to ensure the effective leadership and communication.
Organization and management of a complex calendar using a high level of integrity, managing across senior business partners and markets.
Managing travel arrangements including air, hotel, transfers, and agendas.
Organizing internal and external business meetings (including board-level meetings), making all necessary arrangements including sending invitations, booking rooms and arranging catering.
Ensuring timely preparation and processing of expense reports and invoices; Reviewing expenses submitted to leader and highlighting any out of policy spend.
Fully responsible for office administration duties such as dealing with property management office, renewal of office insurance, financial line insurance, company car insurance, etc..
Managing the administration and facility management team, including receptionist, driver and tea lady.
Handling full spectrum of the Bank’s procurement function, including but not limited to development of procurement policy and procedures, arranging procurement meetings, procurement document filing, etc..
Assisting in budget planning under CEO Office and Administration.
Arranging the application and renewal of company membership and the enrollment of activities.
Providing support on company events and staff activities.
Other adhoc tasks as assigned.
Job Requirements
Bachelor degree in related disciplines with minimum 2 years of experience.
Experience supporting senior level executives is required.
Demonstrated ability to interact with senior management and handle confidential and sensitive information with discretion.
Strong work ethic, highly self-motivated, but understands the key need to be a team player.
Ability to multi-task and prioritize in a fast paced environment.
Strong interpersonal and communication skills with the ability to form professional relationships across all areas of the organization, and across geographies.
Excellent organizational and time management skills with strong attention to detail.
Ability to be proactive and take initiative to anticipate the needs of a complex office.
Demonstrated ability to remain calm under pressure and be flexible to changing priorities.
Proficiency in Microsoft Outlook, Excel, Word, Power Point and agility to manage / learn internal platforms.
Fluency in English, Mandarin and Cantonese.
